Preparing your accounts all year round (instead of scrambling in March)

A daily till closing
The daily Z report is the basic building block: total takings broken down by rate and by payment method. It’s hard to reconstruct properly after the fact.
Filing purchases in real time
Photograph or scan every purchase invoice as soon as you receive it, into a folder for each month. Lost invoices mean euros of VAT you never recover.
Keeping business and personal separate
A bank account dedicated to the business, a dedicated card. Money moving back and forth between accounts muddies everything and lengthens your accountant’s work.
A monthly export
Every month, pull a sales summary from your register (by day, by rate, by payment method) and send it to your accountant along with your purchases. Many Belgian accounting programs can import this type of file directly.

Set aside the VAT you collect as you go, in a separate account. The quarter when payment is due stops being a cash-flow problem.
