Terms and conditions of sale

1. Purpose

These terms apply to any order for a VELKA software subscription, installation and training services and, where applicable, hardware.

2. Order and quote

Every service is the subject of a written quote, valid for 30 days. The order becomes firm upon signature of the quote or payment of any deposit.

3. Price and payment

Prices are shown excluding VAT; the applicable Belgian VAT (21 %) is added to the invoice.

Subscriptions: START €39/month, PRO €59/month, MULTI €99/month. Monthly billing, by direct debit (SEPA) or bank transfer.

Installation: €449 (full) or €299 (using the customer’s existing hardware). Data migration: free of charge.

Hardware: Essential Pack €890, Comfort Pack €1,290, or rental at €29/month (maintenance and replacement included).

Late payment: in accordance with the Belgian law of 2 August 2002, any late payment, after an unsuccessful formal notice, automatically incurs late-payment interest at the statutory rate plus a fixed collection fee of €40.

4. Term, termination and reversibility

The subscription has no minimum term and may be cancelled at any time, effective at the end of the current month.

The customer’s data belongs to them and remains exportable at any time in standard formats (CSV, PDF). No exit fees.

Satisfaction guarantee: within 30 days of installation, the customer may request the removal of the system and a refund of the installation fee.

5. Installation, training and support

Installation is carried out on site, by appointment, generally before the shop opens.

One year of free, unlimited support is included after installation (phone, messaging, remote assistance, on-site visit if needed).

Software updates are included for the entire duration of the subscription.

6. Compliance

VELKA produces receipts and reports compliant with Belgian retail trade obligations (X and Z reports, VAT breakdown, logging).

VELKA is not certified for horeca establishments subject to the registered cash register system (SCE) and displays no approval number. Customers subject to the SCE are informed of this before placing any order.

7. Liability

The publisher is bound by a best-efforts obligation. Its liability is limited to direct damages and capped at the amount paid by the customer over the previous twelve months.

The customer is responsible for the accuracy of the prices and data they provide.

8. Personal data

The processing of personal data is described in the privacy policy.

9. Applicable law and disputes
